DIY Books at 7x Growth

Revenue Multiplied in a Year. He Was Still Doing Everything Himself.

“Daniel” found a gap in healthcare and filled it.

Many medical facilities need specialized diagnostic testing, but not enough of it to hire a full-time technician with benefits. So Daniel bought the equipment, secured contracts with those facilities, and sent trained contract technicians to do the work. Facilities get the testing they need, and technicians get steady work.

The model took off. Last year the business brought in low six figures. This year it’s on pace for several times that.

And until he called us, Daniel had never had professional tax or accounting help. He ran his own bookkeeping software and his own payroll.

Doing it yourself works, until it doesn’t

To his credit, Daniel was more organized than most. He kept his own books, used accrual accounting, and ran payroll through a payroll service.

But a business growing this fast changes the stakes. The software only knows what you put into it. Our first step is reconciling everything: his books, his payroll records, and the filings that payroll requires.

Payroll comes with quarterly and annual tax returns at both the federal and state level, and making sure those match what was actually paid is one of the most important checks we do.

“Do I need to charge sales tax?”

This was one of Daniel’s first questions. Florida taxes the sale of most goods, but it taxes far fewer services. Medical diagnostic services are generally not subject to Florida sales tax.

That said, the answer can change if a business also sells products. So we confirm what’s being billed, not just what the business is called.

Why accrual fits a business that bills first

Daniel’s books use the accrual method, which records income when he bills it, not when he’s paid. For a business like his, that’s the right fit. He invoices facilities and collects later, so accrual shows what he actually earned each month and exactly how much is still owed to him.

The trade-off is that income can be counted before the cash arrives. So we plan for it: tracking receivables closely and setting aside for taxes on invoices that haven’t been collected yet, so growth never turns into a cash crunch at tax time.

Growth this fast changes the tax picture

When revenue jumps this much, three things need attention right away:

  • Estimated taxes: Quarterly payments based on last year’s much smaller income may not come close to covering this year. Planning ahead avoids a painful bill and future penalties.
  • Entity structure: His company is a single-member LLC taxed as a sole proprietorship. At this income level, an S-corp election may save self-employment tax, and we’re running the numbers.
  • Worker classification: Technicians who use his equipment on contracts he secures need a careful look at whether they’re contractors or employees.

The business credit card question

Daniel also wanted advice before applying for a business credit card. It’s a smart move for a growing company: it keeps business spending separate, builds business credit, and makes bookkeeping cleaner.

The key is using it only for business, and understanding any personal guarantee before signing.

What we put in place

  • Books and payroll reconciliation: His bookkeeping and payroll records matched against every required filing.
  • Accrual accounting: Kept in place, with receivables tracked monthly.
  • Tax planning for growth: Estimated payments and an S-corp analysis.
  • Equipment and loan tracking: Machines recorded as assets, with financing set up correctly.
  • Contractor review: The right classification and reporting for his technicians.
  • Year-round guidance: Answers to questions like the credit card one, before he makes the decision.

He built it himself. Now he has a team.

Daniel did an impressive job building this business on his own. Now that it’s growing this fast, he wants experts making sure the foundation holds.
